Band Boosters Meeting Agenda

WELCOME!

Attendance: Karen Price, Traci Lowery, Bev Heaney, Glenn Heaney, Anne Hobbs, Colleen Devries, Cindy Gilmour, Ms. Humfeld

Director’s Report

·        Ms. Rachel Sparks, director for the theatre department, has requested the band boosters help in starting a boosters for the theatre department.  Logical request since we work with her department.  Spring musical, which we provide the pit music for, will be "The Wedding Singer"

·        Looking for a new date to hold the mulch sale.  3/27 is a no-go @ PHS.  Other function going on.  Will check with Sneade's and PHS to see if either 3/13 or 3/20 will work.  More info to come.

Committee (and other) Reports:

President/Publicity

·        Navy Band and Winter Concert publicity are taken care of.

Treasurer

·        (-)9500.00 in the hole.  Several members have not paid fees.  Will continue to try to collect these back fees.

Uniforms

·        15 warmup outfits need to be turned in.

·        Seniors who will be performing with the Navy Band, need to be outfitted.

·        possible fundraiser ideas for new wind ensemble uniforms - Roy Roger PHS band nights, change drive, "flocking", sell guard items on guardcloset.com

Ornament Sales

·        Being sold by the students at lunch time

·        $20  a piece

Director’s Report

·        Chaperone’s all have rooms

·        If you asked her, you room is reserved

·        Chaperone’s do not have to pay for their room.

Committee (and other) Reports:

President/Publicity

·        Navy Band and Winter Concert publicity are taken care of.

Vice-President/Webmaster

·        Buttons are still up on website.

·        Will be putting more pictures up on the site

Treasurer

·        Only 10 have paid off all of their band fees.  We should be fine if we get all of our money.

·        We are saving $1300 by not using charter buses this year.

Secretary/Photos/Buttons

·        A total of 40 buttons sold this year.

·        Need more button supplies for next year.

Uniforms

·        Need band uniforms back to get them dry cleaned

·        Need to check the status of tux shirts

·        Wind ensemble uniforms are taken care of

Chaperones

·        Thanks to all for the support

·        Will use the signup sheet again next year

·        For ACCs, be here an half hour prior to departure

·        Night signup sheet has been given to Ms. Brickey

Poinsettia Sales

·        Please sell them!!!!!

·        Can arrange for a delivery for churches if desired

·        Need someone to take over the sales

Ornament Sales

·        Being sold by the students at lunch time

·        $20 a piece

New Business:

          ACCs (Trip Itinerary, Feeding the Band)

·        Students will be asked to bring money for dinner

·        Students will have some pool time.  Students are to wear a bathing suit and t-shirt.

·        Chaperones should expect to receive a schedule

·        Mandatory breakfast

·        At ACC’s, proposing a picnic lunch following the students’ performance.  Expect an email regarding food and/or money donations.

          Marching Band Banquet

·        Possibly the Monday before Thanksgiving or the week after Thanksgiving

·        Recognize booster members who helped with the Marching Band

·        Food

o   Spaghetti

o   Roy Rogers – chicken, mashed potatoes, etc. (getting cost and will get back to the boosters via email)

          Pancakes with Santa

·        December 12, 2009 (8 – 12)

·        Need someone to take it on for next year.  See Karen if you are interested.

·        Plans

o   Pictures (Pam and Dave for this year and next year)

o   Crafts

o   Organizing the food

PHS Band Boosters Minutes

Monday, October 5, 20009


Members Present – Karen Price, Brooke Humfeld, Lisa Hanson, Traci Lowery, Jackie Kalinoski, Holly Herzog, Colleen Devries, Hala Bizzarro, Victoria Embrey


Band Directors Report – Brooke Humfeld

  • Many thanks to the Band Booster Parents for all that we've done.

  • The color guard flags are done and she loves them.

  • Nancy and Les Taylor donated a new golf cart to the pit crew.

  • In lieu of Middle School band night next year, possibly consider a trip for the middle school students to experience a TOB competition.

  • Pep Rally on Thursday.

  • Friday – report at 4:30PM for the parade. Marching Band performance will be after the football game.

  • Northern HS TOB on Saturday – 1PM report time, 4PM leave PHS, 6PM perform, early bus will leave after the performance to get students attending homecoming back to PHS.

  • PRAD – Sunday. Pam will finish the single and group photos before the parade begins.

  • Wants to host a PHS TOB in the future. Just a thought, but is a good fundraiser. Lots of man power will be needed for the day. Let's start getting our ducks in a row to make this a reality.

  • Navy Band Concert – January 30, 2010 @ 7PM. Seniors will perform with the band. Dinner will be provided for the Navy band members. A dessert social for parents/community will be directly before the concert.

  • Requesting that on booster meetings where we have any questions or concerns, or she has info to pass onto us, that we meet with her directly after the meeting. She really needs to be outside with the Marching Band students.

  • Tom Kreider has posted PHS band performance videos onto YouTube.

  • Mr. Shippert has offered to make copies of his performance videos. If you would like a copy, provide the DVD to him. Asks that we add him to the website as our videographer.


President – Karen Price

  • Roy Rogers Night made 500 (+) in sales

  • Pictures in uniform were taken today. Pictures are now available for buttons. Button information on homepage of website.

  • Marching band uniforms are distributed. Still need to get wind ensemble and symphonic bands uniforms distributed. Wind ensemble will need theirs for the upcoming concert.

  • Trick-or-treat night after band practice. Thursday, 10/29. Parents arrive prior to the end of practice @ 7:45PM. We line the walkway from the practice lot into the school, ready to pass out treats to the kids. This has always been a huge success. The kids dress up this night also.

  • Poinsettia sales are getting underway. Contact person – Heather Muldoon

  • Donations of baked items needed for the bake table at the Fall Preview Concert. Contact person – Victoria Embrey

  • Ornament Fundraiser – in conjunction with chorus and orchestra. More info to come.

Publicity – Karen Price

  • Will advertise locally for the Navy Band Concert on 1/30/2010 and also for the Fall Concert on 10/27/2009

Band Booster Meeting 9/14/2009

Director’s Report: Apologizes for things she doesn’t know and is taking notes for next year.  Pit crew really needs to make sure they are ready for next week at the competition.  The flags are her other concern.  If there is at any time this week that anyone wants to help sew the flags please see Mrs. Lorraine Humphreys.  She will even teach them how to sew if you are willing to work.  Please see Lorraine if you want to help. 

President’s Report (Karen):  As soon as the tour shirts are in the fee sheets will be distributed.

Vice President and Web Site Report (Traci): Please email her any pictures.  What can we do for crowd control at the football game when exiting?  We may want to use the opposite exit when leaving the football game.  We need to bring this to Ms. Humfeld.   We think Patuxent performs at 4:00 PM at Martinsburg.  Use the web site for information.  The information is kept up to date.

Uniforms: Everybody has been sized.   We had a small problem at band day with the uniforms.  The kids need to recheck their numbers this week.  We need to discuss the wind ensemble and symphonic band uniforms.

Volunteers for Merchandise and Mulch Sale:  Cindy is willing to give a pass down.  The first concern is merchandise.  Heather Muldoon will take care of the tour shirts but not all of the merchandise.  We could sell the back stock at a discount.  We really need a band parent to take care of the mulch sale, preferably one of the parents of underclassmen.

Chaperones:  Still a few blanks on Saturdays.

Fundraisers:

Roy Roger’s fund raiser on Tuesday, September 22 between 5 and 9PM. 

Poinsetta’s potentially on December 10th for delivery.  Will need orders by November 19th.
